1. Acceptance of Terms
By accessing or using EduPay ("the Service"), you agree to be bound by these Terms of Service. If you do not agree to these terms, you may not use the Service. These terms apply to all institute administrators and users of the EduPay platform.
2. Description of Service
EduPay is a cloud-based student payment management platform for private tutoring institutes. The Service allows institutes to manage student records, track monthly fee payments, generate QR codes for parent access, and manage subscriptions. Institutes can also choose to let parents pay tuition online by card through Stripe (see section 5, Online Payments from Parents). This feature is optional.
3. Eligibility and Account Registration
To use EduPay as an institute administrator, you must register an account on our platform. You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. You must provide accurate and up-to-date information during registration.
4. Subscription and Billing
EduPay is offered as a monthly subscription per institute. Plans are priced by the number of active students; the current plans and prices are listed on our pricing page and in the admin panel.
- New institutes get a free trial (currently 30 days, one per institute). A valid payment method is required to start the trial. If you cancel before the trial ends, you will not be charged.
- To gain full, uninterrupted access to the admin panel and all features, a valid payment method must be on file and an active subscription maintained.
- Subscriptions renew automatically each month unless cancelled.
- Cancellation takes effect at the end of the current billing period. No partial refunds are issued for unused periods.
- Prices may change with 30 days' notice sent to your registered email address.
- All payments are processed securely by Stripe. EduPay does not store payment card data.
5. Online Payments from Parents
Institutes can connect their own Stripe account from Settings → Online payments, so that parents can pay tuition by card, Apple Pay, Google Pay or Revolut Pay from their child's page or from a reminder email. When an institute uses this feature:
- The institute is the seller. The institute opens its own Stripe account and accepts Stripe's agreement directly with Stripe, in Stripe's own onboarding form. Online payments are available to businesses established in Cyprus, in euro only.
- EduPay never holds parents' money. Each payment goes straight to the institute's own Stripe account and Stripe pays it out to the institute's bank account.
- EduPay fee. EduPay keeps 0.75% of each online payment. The fee is deducted automatically by Stripe from the payment, as an application fee, before the money reaches the institute. There is no monthly fee for online payments. We may change this fee with 30 days' notice sent to your registered email address.
- Stripe fees. Stripe charges its own processing fees on each payment (from 1.5% + €0.25 for EU cards). Stripe's fees and EduPay's fee are borne by the institute.
- Refunds and disputes are between the institute and the parent. The institute makes refunds and answers disputes from its own Stripe Dashboard. Stripe does not return EduPay's fee automatically when a payment is refunded; on request, EduPay refunds its fee for refunded payments.
- Recording. A paid month is recorded automatically in EduPay, with a receipt where receipts are enabled. Marking a month unpaid in EduPay does not refund the parent.
- When the button stops. Parents can no longer pay online when the institute's subscription is no longer active, or when the institute pauses online payments in Settings.
6. Free Registration
Creating an EduPay account is free. To begin actively managing your institute on EduPay, you activate a subscription from the admin panel through Stripe's secure checkout, starting with the free trial described above. If your subscription is not active, access to the admin panel will be restricted. Your data is retained and fully accessible once you subscribe.
7. Acceptable Use
You agree not to:
- Use the Service for any unlawful purpose or in violation of any applicable regulations.
- Upload false, misleading, or fraudulent student or payment records.
- Attempt to access another institute's data or bypass security controls.
- Reverse-engineer, decompile, or attempt to extract the source code of the Service.
- Use automated tools to scrape, crawl, or overload the Service.
- Share your admin credentials with unauthorised individuals.
8. Data Ownership
You retain full ownership of the student and payment data you enter into EduPay. EduPay processes this data on your behalf as a data processor. We do not claim ownership of your content and will not use it for any purpose other than providing the Service.
9. Data Backup and Portability
You can export a full backup of your data at any time from the admin panel. We strongly recommend maintaining regular backups. While we take precautions to prevent data loss, EduPay is not liable for any data loss resulting from technical failures, accidental deletion, or account termination.
10. Service Availability
We aim to maintain high availability but do not guarantee uninterrupted service. Planned maintenance will be communicated in advance where possible. We are not liable for losses resulting from downtime.
11. Suspension and Termination
We reserve the right to suspend or terminate your account if:
- Your subscription payment fails and is not resolved within a reasonable period.
- You violate these Terms of Service.
- We are required to do so by law.
Upon termination, your data will be retained for 30 days before deletion. You may request a data export at any time before deletion.
12. Limitation of Liability
To the maximum extent permitted by law, EduPay shall not be liable for any indirect, incidental, special, or consequential damages arising from use of the Service, including loss of revenue, data, or business opportunity. Our total liability shall not exceed the fees paid by you in the 3 months preceding the claim.
13. Disclaimer of Warranties
The Service is provided "as is" without warranties of any kind, express or implied, including fitness for a particular purpose or non-infringement. We do not warrant that the Service will be error-free or that defects will be corrected.
14. Governing Law
These Terms shall be governed by and construed in accordance with the laws of Greece and the European Union, without regard to conflict of law principles.
15. Changes to Terms
We may update these Terms at any time. We will notify you of material changes via email or within the admin panel at least 14 days before the change takes effect. Continued use after the effective date constitutes acceptance of the new terms.
